Subject: Council Website - Improving Access to Council Documents

A good example recently arose regarding a common problem with council practices on the website.
many more residents would be able to use the council website as a reference source for documents related to issues that concerned them if the documents were converted into pdf files in functional groups.
 
At the recent meeting
 
The 2 Attachments on the Council Site were 7 Mb and 4 Mb.  The agenda item regarding 525 Camberwell Rd was split across both documents requiring an interested resident to download both documents.
Most residents do not have the software OR the expertise to split the PDF files OR possibly the expertise to print only the relevant pages.
Thus they would be left with 2 large files that relate to a variety of agenda items, or a very expensive printout only partly related to the agenda item of interest.
Consequently, most people will go for a paper copy limiting the usefulness of site provision of pdf files.
Residents may not even keep the downloads as they are only partly related to the matter of interest and are so large.
 
It would seem to be very quick and easy (and possibly of benefit to the internal file management of the council office) if each agenda item was stored in a discrete pdf file for quick easy download and later reference.
 
Could you put this possibility to council officers and representatives please ?

Hi Stephen, I certainly. Believe me, I share your frustration and have raised the issue before. I'm hoping that with the new CEO we'll see some action soon.

...so what has happened ? It seems the website is still quite flash on the surface but below in the detail it's not very user friendly.
  • Most items are spread over multiple large PDF documents - impossible to download without broadband.
  • Items are split over multiple PDFs.
  • Documents are scanned into PDFs and are not able to be searched.
This is something that just infuriates people and makes them suspicious.
